Centralizing Your Information – The Processing Checklist

When files are flying around your desk, you need access to information quickly. Creating a good processing checklist will give you access to all of the information you will need at a moments glance.
My Processing Checklist is an integral part of my day to day operation. I use it as a tool when setting up my file, and as a reference throughout the process. It only takes an extra couple of minutes during setup, but it buys me a lot of time later.
As I scrub the file on the initial setup, the checklist helps me to ensure that everything is in the file. During setup, I go over each section of the checklist and make sure the file contains the corresponding documentation. Any missing items are highlighted and then written down in the appropriate spot on my form. It is then very easy for me to see what information I need to request, and from whom.
My form has a section for each part of the transaction. Each section lets me track when a service was ordered, the contact info for any third party associated with that section, and when the service was completed. This also becomes a great tool for covering yourself (i.e.: The LO says he gave you that pay stub on November 1st, but you have noted on your checklist that you received it on November 28th!! It is great for tracking purposes)
I have seen many processors’ systems that keep track of file information including sticky notes stuck to various locations on the file. Personally that does not work for me. I prefer a system that is the same for every file and is not easily lost or misplaced. In addition, it gives the loan officers added confidence in you, when you are clearly organized.
Having a central location for all pertinent info in the file will keep your workflow organized and efficient. I have attached the checklist that I use; however, you may find that creating a checklist specific to your needs may suit you better.
